What Synergix provides

A secure base for the event season.

Book warehouse space for suitable festival stock and keep reserves off site until they are needed. We agree the stock, conditions, duration and access, then identify and locate each incoming unit. You can collect an authorised release or arrange transport. Delivery is useful support, not a condition of storing with us.

What do you need to store?

Types of festival stock we store.

Warehouse space for the goods that keep an event supplied, with storage conditions and handling confirmed for your stock.

  • Drinks & bar stock
  • Merchandise
  • Packaging & consumables
  • Bar & catering equipment
  • Production & event kit
  • Returns & reusable stock

Drinks businesses and event bars

Hold suitable packaged drinks, reserve bar stock, empties and reusable equipment for one event or a programme. Separate full goods, part-used containers and empties by owner. Declare temperature, food, duty or other restrictions first so the actual holding arrangement can be agreed.

Merchandise sellers and trading teams

Store clothing, promotional stock and trading supplies without sending the full season's quantity to every event. Keep product/size/variant references clear and identify event allocations. Agree whether each release is a sealed pallet, carton or smaller picked quantity.

Production teams and reusable event kit

Hold suitable packed furniture, bar units, signage and flight-cased equipment between dates. Give individual packed sizes/weights, fragile parts and stacking limits. Plan accessible items and returns, rather than treat storage as cleaning, repair or a general workshop service.

The wider Synergix fleet

All vehicles. The right equipment for your job.

Our wider fleet supports different transport and unloading requirements. This overview is not a promise that every configuration performs this service. We match the actual vehicle, body, usable capacity and equipment to the load and receiving site.

Match the handling to the job

A HIAB is a loader crane for an assessed lift or placement. A MOFFETT carries an unloading forklift for suitable loads at sites without receiving equipment. Standard-body dimensions and payload do not apply automatically to fitted equipment or refrigerated configurations. Confirm the actual load, ground, access and handling arrangements.

How the work happens

From the first stock arrival to the next event.

Warehouse holding is the core service. Set out the identity, access and release instructions so stock can stay in storage until it is needed.

  1. Book the holding

Agree goods/conditions, peak space, dates, checking units, terms and access. Declare restricted goods and value before arrival.

  2. Receive and identify

Match the arriving stock to the agreed references and checking level. Apply individual labels or barcodes and assign warehouse locations.

  3. Hold and arrange access

Keep stock in its assigned holding. Arrange managed evening/weekend access, reviews or checks and tell us about changed dates or quantities.

  4. Authorise the release

Name the goods, handling units, quantities and authorised person. Agree any picking/preparation and the collection or optional delivery arrangement.

  5. Review the remaining stock

Keep reserves for later events and agree suitable returns/checks. Update the next release and storage period, or arrange the final removal.

Warehouse management, labels and locations

Your stock identified. Its location recorded.

We use a warehouse management system (WMS). Each stock unit receives its own label or barcode and an assigned warehouse location.

Goods in

Receive and identify the stock

Provide the stock owner, product references, quantities and expected arrival. At receipt, incoming stock gets its individual warehouse label or barcode. We agree the checking level, whether by sealed pallet, carton or item, and how visible damage or quantity differences are recorded.

Put away

A recorded place in the warehouse

The stock is assigned a warehouse location in the management system. Linking the label or barcode to that place gives the team a recorded location to find the goods, while keeping owners, event allocations and handling requirements clear.

Controlled release

Who can authorise the stock?

Nominate who can request stock and who can collect it. Use the agreed references and quantities for a release, whether that is a full pallet, cartons or an agreed picked quantity. Reserve stock can stay in storage until it is needed for a later event.

Stock records

Information that supports the storage

Stock identity and location are part of our WMS operation. Agree the checks, counts and reports you need, including any batch or expiry handling. An external system connection or particular report format is an additional requirement to discuss.

Storage that fits festival working hours

Access in the evenings and at weekends.

Your event calendar does not stop at the end of a weekday. We offer managed evening and weekend access to stored stock, with collection or release arranged through our team.

Before an event

Hold stock until it is needed

Bring stock into storage ahead of the event and keep it identified in the warehouse. Agree what needs to remain accessible, how long it will be held and when the first stock is required. Hold reserve quantities without sending everything to the festival at once.

During the programme

Get at stock outside office hours

Arrange evening or weekend access, or ask us to release stock for transport to site. Give the references, quantities, authorised person and time required. We coordinate the warehouse arrangement with you so access is planned before the event is under way.

Between dates and after breakdown

Keep remaining stock ready

Unused goods and suitable reusable kit can return to the warehouse for the next event or a longer storage period. Separate saleable stock, empties and damaged or dirty returns. Agree receipt and checking requirements so the next request starts with identifiable stock in storage.

Managed access, not unrestricted walk-in entry.

Evening and weekend access is available. Arrange the stock required, collection or release time and authorised people with us. If dates or quantities change, call so we can update the arrangement, including any extension to the storage period.

First time storing festival stock? Start with the stock list and calendar.

Build a usable stock list

Ask suppliers or the stock owner for product/variant references, quantities, packed sizes, gross weights and required conditions. Separate sealed handling units from the items inside. Photos help with awkward kit; flag unknowns and agree how they will be checked before receipt.

Plan peak space, not just opening stock

List expected arrivals, the maximum held at once, planned event releases and returns. Include reserve stock, empties and any gaps between dates. Ask how increased stock, a cancelled event or a longer season changes the space, handling and price.

Name the access and release contacts

State who can request stock, the authorised collector and expected evening/weekend times. Give references and units for each release and allow time for agreed preparation. If delivery is required, add the real vehicle gate, slot, passes, contact and unloading method.

Release one event's allocation and keep the reserve

For example, storage holds 12 labelled merchandise cartons: eight shirts and four hoodies. An authorised release of three shirt cartons and one hoodie carton leaves five shirt cartons and three hoodie cartons for later dates. Use distinct references and carton quantities. Counting the sealed cartons does not verify the number of garments inside; item counts and smaller picking need their own agreement. This is an illustration, not a customer record.

Practical detail for each requirement

Beer, cider, wine, spirits and soft drinks

Give quantities by keg, cask, case or pallet, with loaded weights and supplier instructions. Beer, wine, champagne, whisky and other spirits do not all have the same storage requirements. Tell us which need temperature control and which can use suitable ambient space. Separate full stock, part-used containers and empties, with their owners and return destinations. Bonded or duty-suspended storage is not included automatically.

Clothing, merchandise and promotional stock

Store merchandise between festival dates without filling a shop, office or trading space. Keep product, size and variant references clear on cartons and paperwork. We apply warehouse identification and assign storage locations. Tell us about quantities reserved for individual events and whether you need whole cartons or agreed smaller picked quantities.

Cups, cartons, printed materials and operating supplies

Lightweight stock can take more space than its weight suggests. Include outer carton dimensions, stackability and protection from moisture. Identify quantities reserved for individual events, bars or caterers. Declare cleaning liquids, aerosols, batteries and goods needing special handling before sending them into storage.

Reusable bar units, serving kit and furniture

Hold reusable equipment and event furniture between bookings. Send packed dimensions, weights and photographs, with any wheeled-case or pallet details. Identify glass, loose components, fragile surfaces and orientation or stacking restrictions. Goods should arrive suitably packed and in the agreed condition. Cleaning, testing and repair are separate from storage.

Signage, display materials and flight-cased equipment

Store suitable signage, display materials and packed event equipment ready for its next use. Identify long pieces, fragile faces, sensitive equipment, stacking restrictions and declared high values. Keep cases and contents referenced, particularly when several contractors or events share a stockholding. Packing must protect the goods through storage and later handling.

Unused stock, empty kegs, cases and reusable packaging

Keep saleable stock apart from empties, damaged items and anything wet or dirty. Provide counts or an agreed checking method, and flag missing labels, broken packaging or leaks before goods return. Suitable stock can be held for the next event. Cleaning, refurbishment, disposal and acceptance of contaminated goods need separate agreement.

Food, temperature-sensitive or restricted goods?

State any temperature, hygiene, segregation, monitoring or expiry requirements. Ordinary warehouse space is not a chilled or frozen facility. Declare gas cylinders, fuel, batteries, aerosols, chemicals, high-value goods and duty-suspended stock before booking. Acceptance is confirmed for the specific goods.

A separate option at the festival

On-site chilled stock storage.

For suitable chilled stock at the event, ask about static refrigerated trailer hire. Cold storage through our partners is another separately agreed option. Neither turns the Northampton warehouse into a chilled or frozen facility.

Refrigerated trailer hire

A fridge trailer left on site

We deliver the trailer, position it as agreed, leave it for the hire period and collect it afterwards. That provides on-site chilled storage for the agreed goods, not just a refrigerated journey. Give us the stock requirement and dates from site set-up to final collection.

The storage conditions

Usable space, stock access and supply

Confirm goods/incoming condition, required conditions, actual usable space, doors/loading height, loading/accessories, supply and standing area. Agree operating checks, access, fault contact and collection duties. The actual equipment and hire scope are confirmed for the event.

If you need collection or delivery

Connect the stored stock with the event.

Collect from our warehouse or ask us to arrange a movement. The stock, authorised release and receiving arrangements need to match.

Release and receiving point

References, times and contacts

Give the stock references and quantities, collection or delivery time and authorised contacts. For an event delivery, provide the named vehicle gate, passes, site plan and unloading point. Match the movement to the organiser’s access windows, not just the public postcode.

Loading and unloading

People, equipment and ground

Describe the loading method and surface. Request a tail lift, HIAB, MOFFETT or handling team where needed. When pallet-truck handling is needed for an individual loaded pallet weighing 800 kg or more, request an electric pump truck. Lower weights can need powered handling too. Confirm actual capacity, ground and route.

No forklift at the festival? Match the unloading method.

HIAB: assessed lifting or placement

A HIAB is a vehicle-mounted loader crane. It can suit an event unit or awkward item that needs a planned lift rather than ordinary fork unloading. Send weight, dimensions, lifting points, required reach/placement and photos. Actual crane capacity at reach, stabiliser space, ground bearing and overhead clearance must be checked.

MOFFETT: a forklift travels with the load

A MOFFETT carries its unloading forklift, useful for suitable palletised stock where the receiving site has no forklift. Confirm item/pallet weight, load centre and fork entry, unloading/working space, route, gradients and ground. It is not unrestricted off-road access or crane placement. The fitted equipment changes available payload.

Supporting handling, when required

Do you need a two-person team?

For stock being collected, moved or placed, tell us where extra help is needed. Storage does not automatically include a two-person delivery.

People and equipment matched to the task.

Give individual packed dimensions, weights, carrying distance, steps and ground conditions. An awkward bar unit may need two people; a pallet or heavy keg may need equipment instead. Do not rely on unbooked help from site staff.

A second person may meet at delivery rather than travel from collection. There is no universal weight rule that makes every load safe for one or two people.

Explore two-person delivery →

What handling support do you need?
Send the stock and access details.

Include individual dimensions, weights, packaging and the route at each end. We will confirm people and equipment.

This guidance stays on this page. It is not sent automatically, a handling assessment or a booking.

Why store your festival stock with Synergix?

More than somewhere to put the stock.

Secure space, identifiable stock and access around the event calendar, with transport available from the same team when you want it.

Secure holding

A managed warehouse operation

Your stock is held in our warehouse rather than left at a temporary site longer than necessary. We agree the goods, space, period, conditions and authorised access. Declare values and special requirements so the applicable storage terms and cover can be confirmed.

Warehouse management system

Identified stock in a recorded location

Individual labels or barcodes connect incoming stock with its assigned warehouse location. The goods remain identifiable and the warehouse team has a recorded place to find them, supporting controlled releases and the next event’s requirements.

Evening and weekend access

Working around the festival calendar

Arrange access or releases beyond normal weekday office hours. You can plan the stock needed for an evening or weekend event with the people holding it, rather than treat it as a weekday-only requirement.

Festival and drinks experience

Stockholding with its use in mind

Synergix supports major event operators and drinks businesses. We understand reserve bar stock, merchandise allocations, reusable equipment and goods returning between dates. Storage is planned around what the goods need and when the event needs them.

Transport when required

Already with a logistics team

Collect your goods, or ask us to move the required stock to the event. Vans, trucks, HIABs, MOFFETTs and refrigerated trailers support different requirements. Fully insured transport, live tracking and proof of delivery support booked movements; transport cover is distinct from storage cover.

Experience and accountability

People responsible for the requirement

Three generations of family transport experience sit behind an independent, owner-led business. Speak to the team about stock held, an access arrangement or changed event dates, with someone responsible for following the agreed plan through.

Operational support is available 24/7/365. Suitable urgent courier collections can be arranged within 60 minutes across the UK, subject to postcode, goods, vehicle, traffic and availability. Warehouse releases and event access are arranged separately.

A useful brief for a useful quote

Tell us what needs storing, for how long and when you need access.

Start with the stockholding. Add transport, specialist unloading or static chilled hire only when they are needed.

Stock, space and conditions

Owner, references, pallet/carton/item quantities, packed sizes/weights, peak volume, stacking/fragility, required conditions, restricted goods and peak value.

Storage and event calendar

Arrival, holding period, first and later releases, expected returns and any programme gaps. Include likely changes, extensions and minimum/notice questions.

Identity, checks and access

Sealed unit versus item checking, mixed stock, picking/count/report needs, authorised contacts and managed evening/weekend release or collection windows.

Returns and optional movements

Unused goods, empties, reusable kit, condition/packing and checking. For a movement: stock release, gate/slot/pass, site contact, unloading or team requirement. For a static unit: actual conditions, site/supply and hire period.

Email your brief to sales@synergixsameday.com. Confirm acceptance before sending stock.

For buying teams and repeat bookings

Check the storage fit

Confirm accepted stock, space basis, duration, conditions, access arrangement and service responsibilities. Declare unusual/high-value or restricted goods before booking. Northampton ambient holding, partner cold storage and an on-site static fridge are different arrangements.

Agree identity and release control

Define stock owner/references, receipt-check units and discrepancy procedure, then who can authorise which release. Agree counts, picked quantities, reports and integrations separately. A barcode/location does not automatically verify sealed contents or provide a customer portal.

Price the whole stockholding

Compare storage basis and peak volume, receipt/release handling, picking, checks, reports, returns and access. Confirm minimum periods, notice, changes/extensions, payment and applicable storage terms. Optional transport or specialist unloading should be separately clear.

Plan a repeat season

Share dates, likely peaks, approved contacts and purchase-order/supplier requirements. Agree review points and stock/value changes, including applicable warehouse cover. Transport insurance does not automatically set contents cover during storage.

Before you book

Festival stock storage questions.

Practical answers about the service and what to agree.

What does festival stock storage include?

Secure warehouse holding for suitable event stock, with individual labels or barcodes and assigned locations in our warehouse management system. Evening and weekend access is available through our team. We agree the space, period, conditions and handling. Collection and event transport are supporting services, not a requirement of every storage booking.

Can you store stock before, between and after festivals?

Yes. We can hold suitable stock for a single event or a season of dates. Send the calendar, expected quantities, arrival dates and likely releases. Tell us about changes or cancellations so the storage period and access arrangements can be updated.

Where is the stock held?

Our warehousing operation is in Northampton. Stock is held in an assigned warehouse location linked to its individual label or barcode in our management system. On-site refrigerated trailer hire is a separate option when chilled stock needs to be held at the festival itself.

How does your warehouse management system identify my stock?

Incoming stock receives its own label or barcode and an assigned warehouse location in our warehouse management system. This links its identity to where it is held, so the team can find the right goods for an authorised release. Provide the owner, product references and quantities, including mixed cartons or pallets.

Can I access my stock in the evenings or at weekends?

Yes. Evening and weekend access is available through our warehouse team. Arrange the time, stock required and authorised person with us. That supports festival working hours without implying unrestricted 24-hour walk-in access. Call if a requirement changes at short notice so we can agree the next step.

Who can collect stock or authorise a release?

Nominate who can request releases and collect goods. Use the agreed stock references and quantities, with the time and receiving person or destination. Tell us when an authorisation changes. Managed access helps protect your stock while allowing evening and weekend arrangements.

Can I release part of my stock and leave the rest in storage?

Yes. Hold reserve stock with us and request the quantities needed for an event or day. Specify whole pallets, cartons or smaller picked quantities so the handling is agreed. The remaining stock can stay in storage until its next use.

Do I need to supply warehouse barcodes?

We provide the individual warehouse label or barcode and assign the storage location. Please still identify the stock owner, booking reference, products and quantities on paperwork and packaging. Keep product references and handling marks clear, including fragile, upright and temperature instructions.

How are stock checks, picking and reports arranged?

Our WMS provides stock identification and location records as part of the storage operation. We agree the receipt checking level, picking and reports needed for your goods. A sealed pallet check differs from counting its contents. External integrations, automatic alerts and special reporting are additional requirements to discuss.

Can you store drinks, food or temperature-sensitive stock?

Tell us the goods, incoming condition and required storage conditions before booking. Suitable static fridges and cold storage through our partners are available to discuss. Actual capability, facility/access, temperature, hygiene, segregation and monitoring need agreement. Northampton warehouse holding is not automatically chilled or frozen, and no universal food/frozen acceptance is promised.

Can you provide on-site festival storage?

For suitable chilled stock, we can deliver a refrigerated trailer, position it as agreed, leave it for the hire period and collect it afterwards. Confirm the goods, usable capacity, temperature, power or fuel, standing area and operating responsibilities. This is separate from warehouse holding.

Can you get stored stock to the event when we need it?

Yes, transport can be arranged from storage for opening stock or later replenishment. Give the stock references, quantities, required time, receiving gate and contact. You can also arrange an authorised warehouse collection. Delivery is an advantage of storing with a logistics team, not a compulsory part of storage.

Can you use HIABs or MOFFETTs for festival deliveries?

Yes, we use them regularly for festivals. A HIAB is a loader crane for an assessed lift or placement; a MOFFETT is a carried forklift for suitable unloading when the site has no receiving forklift. Send the load/weight, handling or lifting details, required reach/position and ground/access. The actual capacity, equipment and working area must suit the job.

Can unused stock and equipment come back into storage?

Yes, suitable returns can be held for the next date. Separate saleable goods, part-used stock, empties and damaged items. Declare wet, dirty or leaking goods before they return and agree counts and receipt checks. Cleaning, repair, disposal and acceptance of contaminated items are separate matters.

How are security and insurance agreed?

Stock is held in our managed warehouse, with authorised access and release arrangements. Declare the goods, peak value and special risks so storage terms and applicable cover can be confirmed. Fully insured transport supports booked movements, but transport cover does not automatically define warehouse contents cover. No fixed cover limit or blanket high-value acceptance is assumed.

How much does festival stock storage cost?

The quote depends on space, stock, duration, handling and access requirements. Counts, picking, reporting and returning goods can affect the scope. Supply likely stock levels and storage dates. Add transport, specialist unloading or refrigeration only if needed, so the quote distinguishes storage from supporting services.

What if I do not yet know the space or exact release quantities?

Start with a stock list, packed dimensions/weights, likely peak holding and the event calendar. Ask suppliers for missing product/packing information and flag estimates. We can discuss the space and checking basis before receipt. Confirm each authorised release's references, units, quantities and time when those requirements are known.

Can you deliver when the event has no forklift?

Discuss a suitable MOFFETT-equipped vehicle, HIAB or another assessed method before booking. A MOFFETT supplies carried-forklift unloading; a HIAB performs a planned crane lift. Neither automatically solves soft ground, an obstructed route or carrying through a building. Provide the actual load, gate/standing area and placement details.

One event or a programme of dates

Secure space for your festival stock.

Send the goods, peak quantities, dates and managed access required. Keep stock with us until it is needed, then collect an authorised release or arrange optional event transport.
