Exhibition & display transport
Exhibition transport from your premises to the receiving team.
We collect packed exhibition stands, displays, graphics, samples and equipment for trade shows, conferences, launches and other events. Book a complete load, a last-minute missing item or the return after the show, with the venue handover planned from the start.
Complete show loads or the missing case
A planned delivery can bring your packed stand components and supporting materials together. An urgent courier can collect the graphic, sample or piece of equipment that missed the main load. We match the vehicle to the packaged goods and the time you need them.
A direct journey for your exhibition goods
Dedicated transport takes your booked consignment from collection to the agreed destination. Planned supplier collections or extra drops can be included in the route. It gives your build team a clear itinerary to coordinate around.
Halls, stands and loading bays
The receiving point may be a loading bay, an appointed venue handler or your stand where access and handling allow. We plan the hall, stand, exhibitor reference and recipient together so reaching the venue is followed by the right handover.
Return collection or the next show
We can collect packed materials after the show and return them to your premises or move them onwards. Booking the return alongside the outbound journey helps coordinate breakdown access, packing readiness and the hours the next destination can receive it.
Who it helps
Who books exhibition transport?
Choose the situation that fits your job. These examples explain how the service can help your team.
Exhibitors and marketing teams
Bring your stand, samples and promotional materials together without asking your staff to make separate collection trips. A dedicated movement gives the team an agreed arrival and receiving point to plan around.
Stand builders and display contractors
Move packed frames, panels and finished components in the order the build needs them. Tell us which cases or bases must come off first, and whether the venue controls internal handling.
Event and brand agencies
Coordinate goods from printers, equipment suppliers and client premises for a launch, conference or roadshow. Agree the collection order and identify each owner, then plan the return or onward show.
Production and equipment suppliers
Send flight-cased screens, demonstration equipment or a missing technical item to the receiving crew. Declare delicate finishes, value, batteries and any mechanical handling or extra people needed.
Practical scope
Exhibition goods we transport.
Open a category for the load, timing and handling details that matter.
- Modular stand and display components
- Graphics, signs and finished print
- Demonstration products and production kit
- Samples, brochures and promotional stock
Modular stand and display components
Provide packed and, where relevant, assembled dimensions, unit weights, packaging and owner instructions. Loose panels, long frames and heavy bases may need different protection and handling from boxed promotional stock.
Graphics, signs and finished print
Give board or roll dimensions, rigid protection, surface sensitivity and whether items must travel flat or upright. An urgent reprint needs a ready collection contact and the same venue access detail as a planned load.
Demonstration products and production kit
Declare value, weight, stability, batteries or other special carriage requirements. Heavy exhibits can require mechanical handling and an appointed venue contractor. Technical setup, testing and commissioning are separate responsibilities.
Samples, brochures and promotional stock
Label by event, exhibitor and stand, with quantities and any delivery reference. Confirm a named recipient rather than assume the organiser or venue will take delivery, especially before the exhibitor team arrives.
Vehicle selection

Our wider fleet includes vans, trucks and specialist vehicles. The right body, usable load space and unloading equipment depend on your goods and the receiving site. We confirm the vehicle for your booking; the overview does not mean every configuration suits every job.

How it works
From booking to handover.
Plan collection, site entry and handover together.
- Brief the job
Send the goods, route, dates and latest event instructions. Include the deadline and any return movement.
- Agree the plan
We check vehicle availability, handling, access, timing and price, then confirm the booked scope.
- Collect and deliver
Goods are loaded and secured, then moved against the agreed route and site window. Changes go through the team.
- Complete the handover
Confirm the recipient, unloading or placement point and any exception. Tracking/POD arrangements and return work follow the booking.
Access, unloading and completion
Match transport to the hall’s working rules.
The exact delivery point and responsibilities are agreed before the vehicle arrives.
Use current venue instructions
Send the exhibitor manual and the rules for the actual event phase. Build, open-day and breakdown access can differ, including whether a vehicle-booking system applies. Do not rely on last year’s pass.
Share hall and stand details
Identify the correct approach, gate or marshalling point, hall, stand and exhibitor. Include vehicle dimensions, booking reference, unloading allowance and the person who receives the goods.
Agree on-site handling
Check who may unload and move goods inside the venue. If an appointed handler is required, coordinate that handover and its hours. Carrying distance, lifts, doors and restricted working areas can change the plan.
Prepare the return
The collection should align with packed goods being ready and authorised breakdown access. Arrange packaging and a receiver for the next destination. Empty-case storage or on-site management is not automatically included.
A missing graphic before the doors open.
An urgent supplier collection still needs a clear venue route, exhibitor reference and recipient. We assess the packed item and actual deadline, then plan a dedicated movement to the authorised handover point. Receiving it at the correct place matters as much as reaching the venue.
People, equipment and ground
Fragile displays and bulky components can need extra people, lifting equipment or an appointed venue handler. Give unit weights, dimensions, carrying distance, stairs, lift and doorway measurements. Agree whether the delivery ends at the vehicle, loading bay, contractor or stand. A two-person appointment must specify the stages where both people are needed.
People and handling
Do you need a two-person team?
Display components can be bulky, fragile or awkward even when they are not especially heavy. Tell us where extra people are needed.
Include individual weights, packaged and assembled dimensions, photographs, carrying distance, stairs, lifts and doorways. We confirm the team and equipment.
Agree the people at each stage
Give manufacturer handling instructions, the final position, mechanical handling available and any venue-appointed handler. Do not assume the customer or venue crew can assist.
- Fragile panels and large bases needing controlled handling.
- Steps, narrow turns or a long carrying route.
- Items whose owner or manufacturer specifies two-person handling.
A second person may join at delivery rather than travel from collection. Specify the stages where both people are required. Synergix confirms the final handling assessment and booked scope.
Planning your booking
Booking exhibition transport for the first time
Start with the packed load and the event timetable. You do not need to choose a vehicle before contacting us.
Measure the goods as they will travel
List each case, pallet, panel or roll. Measure the longest length, width and height including packaging, handles and any overhang. Ask the supplier for weights or its packing list. Send photographs and clearly mark anything still estimated; we confirm the missing measurements before committing the vehicle.
Find the exhibitor manual
Your organiser or exhibitor portal normally supplies the current manual. Send the delivery page, build and breakdown timetable, hall and stand numbers and any vehicle-booking instructions. A delivery slot is permission for a particular arrival window; it is separate from parking and from a pass for a person.
Name the person accepting the load
Confirm whether delivery ends at the loading bay, an appointed freight handler or the stand. Ask that person about unloading equipment, carrying distance and permitted working hours. Reaching the venue postcode does not establish that a stand delivery can take place.
Plan packing and collection after the show
Get-out means the authorised period for removing goods. Give the time your materials will be dismantled, packed and released, rather than just the public closing time. Retain packaging and identify the return receiver, or give the next show’s receiving window.
Put the delivery into the build sequence
If the frame must be built before graphics or demonstration kit can be fitted, tell us when each supplier will be ready and which items the crew needs first. Multiple collections, staged loads or separate urgent movements can be planned accordingly. Early arrival is useful only when the venue permits entry and the receiving team is ready. A changed slot or delayed supplier needs a revised plan with the team, not an instruction for the driver to bypass the queue.
Why Synergix?
Why exhibition teams choose Synergix.
Your exhibition deadline sits inside a much larger event programme. Synergix brings established drinks, live-event and specialist transport experience to the goods, venue access and receiving arrangements behind your booking.
Nationwide courier, haulage and specialist capability, with real operational support 24 hours a day, 365 days a year.
Used to the pressure of live event sites
Our event work involves slots, accreditation, prescribed access routes, curfews and busy builds. We use that experience to plan around the organiser’s current instructions and the person receiving your load, helping your team coordinate the delivery with its setup work.
A solution for the whole packed load
We arrange vans for graphics and cases, trucks for larger stand loads and specialist handling where the exhibit and venue require it. Agree any extra people and carrying to the receiving point when booking. Your load travels against a clear vehicle and handover plan.
National reach, with the right vehicle for the job
A dedicated vehicle can take your booked load directly to the agreed destination. Nationwide capacity supports local collections and longer UK or European movements. For urgent UK courier work, collection within 60 minutes is available for many bookings, subject to location and availability.
Tracking, proof of delivery and people who act
Live tracking helps your team coordinate the receiver, and proof of delivery records the completed handover. Registered customers can book jobs, track drivers and check proof of delivery through our customer portal. Our operations team supports the work 24/7/365 and responds when access, timings or instructions change. Agree any specific reporting requirements when booking.
Fully insured transport, with the load understood
Your equipment and stock matter to the event. Our fully insured transport is arranged against the goods, their value and the booked service, with applicable cover confirmed before collection. Specialist or high-value requirements are discussed up front so you know the arrangement you are buying.
Three generations of transport experience
Synergix is an independent family business built on three generations in transport. That experience informs the vehicle choice and planning, while the people managing your job remain accountable for it. You can reach the team making decisions when the event programme changes.

Coverage, timing and price
Dedicated exhibition transport is arranged across the UK. European requirements are assessed against the route, documentation and show programme. Book planned work early; urgent courier collections within 60 minutes are available for many UK bookings subject to confirmation. Price includes the agreed route, vehicle, timing and handling, with waiting, extra stops and return work identified separately.
Buying the service
For purchasing teams and repeat exhibition programmes
Compare the complete movement: collection, venue entry, unloading, handover and return. Our team can discuss an individual show or a programme of dates against the same clear brief.
Scope and quote comparison
Identify which collections, delivery points and return legs the price covers. Confirm loading and stand handling, waiting arrangements, extra stops and any separate warehouse holding. Give case counts, goods value and the required vehicle access so competing quotes describe the same job.
Visibility and responsibility
Agree the site contact, person authorised to change instructions and tracking/POD requirements. Proof of delivery records the agreed transport handover; it does not certify the stand has been built or the equipment commissioned. Report changes to the slot, load or recipient promptly.
Supplier approval and regular work
Send your supplier questionnaire and required insurance information to our team before the first movement. We confirm applicable cover for the goods and booked work. For repeat shows, provide dates, suppliers, venues and expected loads, plus your purchase-order or invoicing requirements for agreement. Account terms, document availability and reporting are confirmed individually.
Read our standard trading terms and confirm the quoted service, charges and applicable cover before booking.
Exhibition & display transport
Questions before you book.
Practical answers about this service and your event requirements.
Can you transport a complete exhibition stand?
Yes. We transport the packed stand components, displays and equipment that make up a show load. Send the complete load list, packed dimensions, weights and loading requirements so we can match the vehicle and unloading plan. Stand construction and technical installation need separate arrangements.
Can you deliver directly to our stand?
It depends on venue rules and the booked handling scope. Give hall, stand, recipient and carrying requirements. Some venues require an appointed handler for internal movements.
Who receives the delivery at the venue?
Nominate your exhibitor representative or appointed receiving contractor. Do not assume the venue or organiser will accept goods on your behalf.
Do you arrange venue delivery slots?
We agree who handles the booking and pass requirements. Supply the current event instructions and ensure confirmed access details reach the team before arrival.
Are build and breakdown booking rules the same?
Not necessarily. Venue and event-phase requirements differ. Send the current build, open-period and breakdown instructions for the movements you need.
Can you collect a last-minute graphic or missing item?
Yes, subject to availability and a workable route. Call with dimensions, ready time, actual opening deadline, access instructions and the receiving contact.
Do you build or install the stand?
This service covers transport and agreed unloading or placement. Construction, electrical work, rigging, technical setup and commissioning must not be assumed.
Can you collect after the show?
Yes, by arrangement. Confirm when the stand will be dismantled and packed, the authorised get-out access and the destination that can receive it.
Can you store the stand or packaging?
Suitable warehouse holding can be discussed separately. On-site empty-case collection, storage and return are not automatically included in a transport booking.
Can you help with UK and European exhibitions?
UK and European movements can be discussed for the actual route, goods and programme. Documentation, customs responsibilities and venue arrangements need agreement before acceptance.
What if our stand is not packed yet?
Send the component list, supplier packing information and photographs, with estimated dimensions clearly identified. We can discuss the plan early, but need confirmed travelling sizes, weights and handling before selecting the final vehicle.
Can you collect materials from several suppliers?
Yes, where the route and timing can be agreed. Provide each address, ready time, reference and load list. Tell us which components the build team needs first. Separate runs or separately quoted holding may be more suitable if suppliers are ready at different times.
What happens if our delivery slot changes?
Contact the team as soon as the organiser issues the change. We review collection timing, the route, receiving crew and onward work. Entry remains subject to the venue’s permission; waiting, rescheduling or a further trip may change the quote.
What should we check when comparing exhibition transport quotes?
Check the same packed load, collection stops, delivery point, access window, unloading, stand carrying, waiting and return journey. Confirm applicable cover and the reporting you need. A price to the loading bay describes a different scope from an agreed delivery to the stand.
