Exhibition
transport.

Your stand components, product samples and display equipment need to reach the right hall before the build team needs them. Synergix arranges exhibition transport across the UK and Europe, from a dedicated courier for missing graphics to planned van or haulage capacity for the full display. We can connect supplier collections, agreed holding, venue delivery and post-show returns around the actual access windows. Send the show, hall, stand number, load and build schedule.

Transport around your operation

At the right hall.
Ready for the build.

Trade-show transport connects production, the exhibitor and the venue’s receiving rules. Both the outward and return journey need a plan.

Before the show

Bring the complete display together.

Collect suitable stand components, stock, literature and equipment from your premises or suppliers. An inventory helps identify what is moving and whether everything is ready. Agree any holding or consolidation when separate suppliers finish at different times, then plan release against the venue’s build window. A complete transport brief also explains which parts need to unload first so the crew can start with the right items.

An urgent missing item

Get it directly to the receiving team.

Missing print, an essential sample or a replacement component can need a dedicated courier rather than waiting for the next regular dispatch. Give us the ready location, packed size and weight, latest useful arrival and a contact who can receive it. During show-open hours, the organiser may use a different receiving process from build-up. We check the actual permitted handover rather than assuming a van can drive straight to the stand.

After the show

Book the collection when goods will be ready.

The exhibition closing time is rarely the same as a packed-ready load. Agree the dismantle completion, return packaging, collection window and person staying for handover. Include every destination, whether goods go back to your premises, into agreed storage or to the next show. A clear return list helps prevent cases, hired equipment and unsold stock being mixed into a load with no onward instructions.

The right vehicle.
The space your load needs.

From urgent boxed supplies to bulky equipment and full loads. These standard-body dimensions are planning guides. Refrigerated conversions and specialist equipment change usable space, payload and access; the assigned vehicle is checked for your job.

An engine can reach a weight limit before using the floor space. A bumper or panel can need space without much weight. Check the packaged load, door opening, lifting equipment and unloading point. Tail lifts, body conversions and specialist handling affect useful payload and access.

A practical guide to your load

Types of exhibition goods and display equipment we transport

From compact promotional stock to large stand components, the packed load and venue handling determine the service.

  • Stand components
  • Graphics & signage
  • AV & technology
  • Product samples & stock
  • Furniture & fixtures
  • Cases & return loads
Modular stands, panels and display structures.

Provide an inventory of frames, panels, counters and packaged structural parts, with each piece’s dimensions, weight and stacking limits. State any fragile finish or support requirement and what needs unloading first. Long components or fully assembled sections may need a different body from boxed modular parts. The transport plan covers agreed movement and handover; structural design, stand approval and specialist construction remain with the appropriate project team.

Graphics, signs and printed display materials.

Large print, rigid boards, banners and lightbox components need suitable protection against bending, edge damage and movement. Give the full packed dimensions and whether materials must remain flat, upright or in a tube/case. Urgent replacement graphics can be collected directly from a ready printer. Label by exhibition, hall, stand and receiving contact so the right team can take the item into the build.

Screens, demonstration technology and AV equipment.

Flight-cased or suitably packaged screens, controls, demonstration units and technical equipment need declared weights, orientation and handling instructions. Tell us about batteries, fragile surfaces and any non-stackable cases. Venue lifting or internal movement may need the official handling contractor. Transport does not automatically include electrical connection, rigging, software setup or technical commissioning.

Product samples, merchandise and demonstration goods.

List the products, quantity, packaging, value and any required conditions, including items intended for sampling or sale. Food, liquids, batteries or regulated products need appropriate declaration and service assessment. Separate stock going home from stock staying with another team after the show. Small urgent consignments still need a receiving contact and a permitted show-open delivery process.

Display furniture, counters and fixtures.

Chairs, tables, cabinets, plinths and other furniture need their packed sizes and weights checked against both vehicle and venue access. Say whether the delivery ends at a loading bay, an agreed holding point or a confirmed internal location. Two-person handling or placement can be scoped for suitable work. Assembly, stand fitting and technical installation require their own agreed scope and venue permissions.

Flight cases, reusable packaging and post-show goods.

Empty cases can take up space during the exhibition, so agree where they will be held and who is responsible for returning them for packing. Do not assume a venue allows an outside transporter to provide on-site storage or forklifting. For the return load, confirm counts, condition, packaging, release authority and destinations before the crew leaves. Any between-show holding needs its own storage and release plan.

Why choose Synergix?

Transport your show team can plan around.

Practical transport, delivery visibility and people managing the work around your operation.

Rapid courier response

60-minute UK-wide courier collections.

Rapid courier collection helps recover missing graphics, samples or parts when suitable goods are ready and the venue can receive them. Confirm the collection window against the ready time and suitable vehicle. Specialist vehicles need a separate availability check.

Insured movements

Fully insured transport.

Your exhibition goods deserve the right protection. Declare the goods and value so applicable cover and any additional arrangements can be confirmed for the booked service before collection.

See the handover

Live tracking and proof of delivery.

Follow the movement and confirm arrival with live PODs. Registered customers can access booking, tracking and POD records through the customer portal, helping the receiving team plan and your office close the delivery record.

Fewer transfers

Dedicated direct courier delivery.

A dedicated journey reduces transfers for finished displays and fragile equipment and gives urgent items a clear route to the receiving exhibitor or contractor. A dedicated courier vehicle is committed to the agreed job. Planned multi-drop and haulage movements follow their own booked plan.

Connected support

One team for the wider operation.

Connect supplier collections, agreed storage, van or haulage delivery and return movements across the UK, with European show routes planned separately. Active operations support, available 24/7/365, keeps somebody managing changes to dispatch, receiving or the route.

Practical experience

Transport knowledge behind the plan.

Synergix brings major live-event, retail and specialist transport experience to time-sensitive equipment movements. Your exhibition load receives the same practical attention to access and handover. Three generations of family transport experience inform the vehicle, access and handling decisions, with integrity and fair value at the centre of the service.

Active operations, 24/7/365.

Our team monitors the booked work, keeps you informed and acts when plans change. Courier, haulage and agreed storage can be planned together across the UK, with European movements arranged around their own route and border requirements.

Courier collection timing is confirmed at booking against location, load, traffic, vehicle and availability. Larger and specialist vehicles need their own availability check. Insurance cover follows the declared goods and booked service.

Venue access & receiving

Follow the show’s actual delivery instructions.

NEC, Excel London and other venues have their own vehicle, hall and receiving processes. The event manual is the starting point.

Build-up delivery

Share hall, stand and access details.

Send the current exhibitor manual, freight entrance, hall, stand number, booking instructions and build window. Name the person receiving the goods and confirm any vehicle restrictions or marshalling process. Booking requirements can differ by venue and event phase, so avoid applying one show’s procedure to another. Agree who handles passes or slot reservations and any related charges.

Inside the hall

Confirm what the handover includes.

Venue arrival, unloading, portering to the stand and equipment lifting are separate steps. Some shows appoint an official contractor for internal handling or storage. Tell us what is already booked and what the transport team is expected to do, so scope, permissions, people and equipment can be confirmed. A delivery label alone does not mean the venue will receive goods for an absent exhibitor.

Packing & preparation

Protect the display and identify the pieces.

A reusable stand benefits from a clear inventory on both journeys.

Before collection

Pack for the actual movement.

Use packaging or cases appropriate to weight, finish and vulnerability. Secure separate components and declare handling points, orientation, fragile faces and stacking limits. Include cases, crates and pallets in the measurements and loaded weight. Photographs help with awkward shapes. If packing assistance is needed, request it explicitly rather than assuming it is included in a standard collection.

For the build crew

Make the load easy to recognise.

Label pieces and cases by show, hall, stand and project reference. Share the inventory and any unloading order needed by the receiving crew. Keep urgent items identifiable so they do not disappear among general exhibition supplies. Any repacking, assembly or technical work must be agreed separately. The driver’s handover should match the service booked, with a contact available to resolve discrepancies.

Storage & next-show transport

Plan the next destination before opening day.

The exhibition may be one date in a wider programme. Holding and returns can connect those dates.

Between events

Agree holding and release instructions.

Storage or consolidation can be discussed for suitable stand components, furniture and stock. Specify packed quantities, space, storage conditions, duration and next release date. Different display configurations may need different inventories for each show. Confirm any checking, preparation or repair task separately; simply holding the cases does not establish a refurbishment service.

UK & Europe

Allow for the complete route.

European exhibition movements need the countries, event dates, goods list, values and temporary or permanent movement requirements planned with the responsible parties. Customs, ferry and venue access are separate from the domestic courier collection proposition. Book returns as well as the outward leg and identify who will prepare the necessary goods information and documents before dispatch.

UK & European transport

Tell us the whole job.

Send the show, dates, hall, stand number and current venue instructions with an inventory of the packed goods. Include both build-up and post-show collection requirements.

  1. Show & deadlines

Venue, hall, stand, build window, opening date and actual return packed-ready time.

  2. Load inventory

Each piece/case, packed dimensions, weight, value and stacking restrictions.

  3. Supplier readiness

Collection addresses, release contacts and ready times across all suppliers.

  4. Venue process

Freight entrance, marshalling, slots/passes and receiving contact.

  5. Handling scope

Bay/stand handover, crew, official contractor arrangements and equipment needs.

  6. Return & next show

Case storage, return counts, destinations, holding period and European requirements.

Useful answers before you book

Exhibitions transport questions.

Practical answers about the goods, timing, receiving and service.

Can you transport an exhibition stand we already own?

Yes. Suitable ready-packed stand components can be collected from your premises, storage or a supplier, delivered and returned under an agreed plan. Send an inventory, packed dimensions, weights and the venue’s current access instructions.

Can you deliver urgent graphics or product samples?

Yes. A dedicated courier can collect suitable ready goods and travel directly to the agreed receiving point. Give the latest useful arrival and contact. Show-open deliveries may have a different receiving process from build-up, so provide the event instructions.

Do you design, build or dismantle exhibition stands?

This service is transport and agreed handling. Stand design, structural build, specialist dismantling, rigging and technical installation are not automatically included. If any additional placement or assembly is needed, describe it so the exact scope and venue permissions can be confirmed.

What information is needed for venue delivery?

Provide the show, venue, hall, stand, freight entrance, build window, receiving contact and current access or booking instructions. Include vehicle restrictions and any official handling contractor already appointed for unloading, portering or storage.

Who books the venue delivery slot?

Agree responsibility during quotation and provide the event’s booking instructions. Some venues or event phases require advance slots or passes, while others use a different marshalling process. Do not assume one standard procedure applies to every exhibition.

Will the venue accept the goods if our team is absent?

Do not assume it will. Arrange a named recipient or the organiser’s approved receiving service in advance. Share those instructions with operations. A hall and stand number on a label does not establish acceptance by the venue or organiser.

Can you deliver directly to our stand?

The delivery level is confirmed for the show and booked service. Loading-bay handover, portering to the stand and equipment lifting can be separate tasks, sometimes controlled by an official venue contractor. Tell us what is required before booking.

Can you store cases or our stand between shows?

Suitable holding and between-show storage can be discussed. Provide the goods, counts, packed sizes, duration and release plan. On-site empty-case storage follows the show’s own permissions and arrangements; it is not automatically included in transport.

When should we book the return collection?

Book it with the outward movement where possible. Give the actual packed-ready time after dismantling, permitted vehicle access and a contact remaining for handover. The show’s advertised closing time is not enough to plan collection of an unpacked stand.

Can you transport exhibition goods to Europe?

Yes, suitable UK and European road movements can be arranged. Send countries, dates, inventory, values and venue instructions, including the return. Temporary import, customs and crossing requirements need planning with the relevant parties before dispatch.

Are our display goods insured?

We provide fully insured transport. Declare the goods and value so applicable cover can be confirmed for the booked service. Fragile displays, high-value demonstration equipment or additional handling may need specific arrangements agreed before collection.

How much does exhibition transport cost?

The quote reflects load, vehicle, route, timings, waiting, venue access and handling, plus any storage or return leg. Send the whole show schedule and delivery level so the price reflects the actual exhibition movement.
