FESTIVAL LOGISTICS, EVENT TRANSPORT & REFRIGERATED TRAILER HIRE
Festivals & events
Transport & logistics.
Drinks trailers positioned before the build finishes, equipment delivered to the right gate and fresh stock moving while the audience is on site. Synergix coordinates festival and live-event transport, refrigerated trailer hire, replenishment and breakdown collections across the UK. Bring us the event schedule, site plan and stock requirement. We will connect the vehicles, access and collection arrangements into one practical plan, with people available when the programme changes.

Transport around your operation
From first build to final collection
A live event has several transport deadlines. The site opening, bars, suppliers and breakdown team all need the right load at the right time.
Get the site ready in the right order
Coordinate equipment, drinks stock and trailers around the build programme. A vehicle arriving before its unloading area is ready can create as much difficulty as a late delivery. We plan the access gate, check-in process, receiving contact and loading support, then agree the sequence with your team. Tell us whether the load is going to a production compound, bar area or supplier holding point, and when that area can safely receive a vehicle.
Keep the trading operation supplied
When bars or trading teams need extra stock, a dedicated courier can collect from a supplier or warehouse and drive directly to the agreed receiving point. Repeat replenishment can also be planned around forecast demand and vehicle-access windows. The delivery plan must reflect the live site: a road postcode alone does not identify the right gate, and a public area may no longer be accessible to work vehicles once the audience is admitted.
Plan the return before the first delivery
Empty kegs, unused stock, equipment and refrigerated trailers need a clear route out. Book the collection dates, packed-ready times and destination in advance, with a contact who remains on site for the handover. Separate the time the audience leaves from the time equipment can actually be collected. We can connect removal, onward transport and agreed temporary stock holding rather than leaving the breakdown movement to a last-minute search for capacity.

An engine can reach a weight limit before using the floor space. A bumper or panel can need space without much weight. Check the packaged load, door opening, lifting equipment and unloading point. Tail lifts, body conversions and specialist handling affect useful payload and access.
A practical guide to your load
Types of event goods and equipment we move
Support for the working event, from bar stock and chilled storage to production equipment. Each load is matched to its own transport and handling needs.
Drinks, kegs and bar-stock transport
Move packaged drinks, kegs and replenishment stock between suppliers, warehouses and event sites. Provide the loaded weights, packaging and whether pallets, cages or loose units are involved. We plan delivery around the bar or stock compound receiving point. Loading, unloading and any returnable containers must be included in the brief; transport to a festival does not automatically include carrying stock through a crowd or down into a cellar.
Refrigerated trailer hire for events
Synergix delivers the refrigerated trailer, positions it as agreed, leaves it for the booked hire period and collects it afterwards. That gives the event its own on-site chilled storage without arranging the equipment and transport separately. Agree the stored goods, required operating conditions, power arrangements, operating responsibilities, access and positioning before booking. Trailer specifications and availability are confirmed for the event rather than inferred from a standard truck guide.
Production and contractor equipment
Flight cases, packaged audio-visual equipment, production supplies and event infrastructure need a load plan that protects the goods and suits the unloading method. Share individual weights, packed dimensions, stacking restrictions and any wheeled cases. Large, long or unusually heavy items may need a rigid, artic or specialist arrangement. We provide the agreed transport; rigging, electrical connection and technical commissioning remain separate services unless explicitly included.
Merchandise, packaging and operating supplies
Keep merchandise, printed materials, wristbands and other event consumables moving to the correct team. Label consignments by event, contractor and delivery point, especially where several organisations share one site. Tell us which items must arrive first and whether unused stock is coming back afterwards. Advance stock holding or consolidation can be discussed when suppliers are ready at different times and the event can accept only a short delivery window.
Transport for customer and event trailers
Traction support can move compatible customer or third-party trailers into and out of the event operation. Provide trailer details, availability, condition, connection requirements and the site route before allocation. Festival ground and turning space need checking for the actual combination. Positioning is planned with the event team; it does not mean every surface is passable or that a standard tractor unit can recover a trailer from unsuitable ground.
Stock, empties and equipment returning
Separate saleable stock, empty returnables, hired equipment and damaged goods before collection. List counts and destinations so the return vehicle and unloading arrangements can be planned. Stock returned to storage may need a different process from equipment going directly to its owner. Waste removal is not automatically included in a transport booking. Tell us what is returning and its condition rather than describing the whole breakdown load as miscellaneous event materials.
Why choose Synergix?
Transport that keeps pace with the event
Practical transport, delivery visibility and people managing the work around your operation.
60-minute UK-wide courier collections
Urgent parts or bar stock should not wait for the next scheduled run. Our rapid courier response helps recover supply during build-up or trading. Collection timing is confirmed against the postcode, goods and suitable vehicle. Specialist vehicles need their own availability check.
Fully insured transport
Your event goods deserve a transport plan with the right protection. Tell us their description and value so the applicable cover can be checked against the booked service before collection.
Live tracking and proof of delivery
Keep your team informed as the consignment moves, then use live PODs to confirm the handover. Registered customers can access booking, tracking and POD information through the customer portal.
Dedicated, direct courier transport
A vehicle committed to the urgent job avoids parcel-hub transfers and gives equipment or stock a clear journey from collection to the event receiving team.
One event transport plan
Connect refrigerated trailer hire, equipment movement, regular replenishment and return collections with active operations support, 24/7/365.
Trusted on major live events
Synergix supports major event operators and is trusted by some of the sector’s largest companies. Three generations of family transport experience support practical judgement about access, timings and recovery.
Active operations, 24/7/365.
Our team monitors the booked work, keeps you informed and acts when plans change. Courier, haulage and agreed storage can be planned together across the UK, with European movements arranged around their own route and border requirements.
Courier collection timing is confirmed at booking against location, load, traffic, vehicle and availability. Larger and specialist vehicles need their own availability check. Insurance cover follows the declared goods and booked service.
ON-SITE CHILLED STORAGE
Hire the trailer and arrange the movement together
Event refrigeration is a service in its own right, rather than simply a chilled consignment in transit.
Put the storage where the event needs it
Agree the location before the trailer arrives, including approach route, turning space, ground suitability and clearances. Send the site plan and a receiving contact who can approve the final position. Consider access for stock replenishment and the eventual collection, as well as the opening-day layout.
Agree the full hire period
Specify delivery and removal dates, stored goods, operating requirements and the arrangements for power and day-to-day use. Collection needs its own packed-empty or agreed stock condition and an accessible trailer. Tell us early if site build changes will obstruct the exit route.
SITE ACCESS & TIMING
The gate and the handover matter
A festival postcode may cover a large site with several entrances and controlled routes.
Send the actual vehicle instructions
Provide the production gate, booking reference, permitted access times, vehicle limits and the person receiving the load. Include accreditation or induction requirements that affect the driver. The event organiser’s traffic plan should explain the route and how vehicles are kept apart from staff and the public.
Keep the recovery practical
Weather, changed compounds and late-running builds can affect safe access. Tell operations as soon as the site plan changes so arrival or unloading can be reconsidered. A promised public opening time does not make an unsafe route suitable; we work with the site team on a usable alternative.
CONNECTED EVENT LOGISTICS
Build a repeatable plan for the programme
For several dates or venues, planning the full programme can reduce gaps between suppliers, storage and site teams.
Consolidate stock and supplier movements
Discuss advance holding or consolidation when goods are available before the event can receive them. The storage specification, counts and release dates need agreement. A clear stock list helps the right equipment leave for each date without treating every event as an entirely new collection.
Book the next movement
Identify what returns to its owner, goes into storage or travels to the next event. Confirm counts, condition and ready times at each handover. A return load needs suitable packaging and handling just as much as an outbound delivery, even when the event crew is working against a tight clearance deadline.
UK & European transport
Tell us the whole job.
Send the event dates, actual gate and receiving schedule along with the load. For refrigerated trailer hire, include the hire period, stored goods and proposed position.
- Event & dates
Name the event, build, trading and breakdown dates, plus the actual collection-ready and receiving windows.
- Load & stock
List packaged goods, counts, dimensions, loaded weights and anything that cannot be stacked.
- Site access
Provide the right gate, site plan, accreditation, traffic instructions and ground or vehicle restrictions.
- Handling
State forklift, tail-lift, crane, crew or two-person needs at both ends. Do not assume they are included.
- Trailer hire
Specify storage conditions, hire dates, position, power arrangements and the responsible site contact.
- Returns & value
List return destinations, empties and declared goods values, with the required handover records.
Not sure which vehicle fits?
Use LoadCheck with the packaged sizes and total loaded weight, then confirm door access, handling and the assigned vehicle with our team. Standard-body figures do not confirm specialist or refrigerated capacity.
Useful answers before you book
Festivals & Events transport questions.
Practical answers about the goods, timing, receiving and service.
Can you deliver a refrigerated trailer and leave it at our festival?
Yes. Synergix can deliver and position the refrigerated trailer, leave it for the agreed hire period and collect it after the event. Send the dates, goods, site plan and operating requirements so the appropriate trailer and hire arrangements can be confirmed.
Is refrigerated trailer hire the same as refrigerated transport?
No. Hire provides stationary chilled storage at the site. Refrigerated transport maintains the agreed conditions while goods move by road. If you need both, describe each part of the job so the transport and storage arrangements can be joined together.
Can you help when we run out of stock during an event?
Yes. Dedicated same-day courier collection can move urgent stock directly from its supplier or warehouse. Share what is ready, where it is and the live-site access instructions. Suitable vehicle availability and a safe receiving window determine the confirmed response.
Can we book build-up and breakdown transport together?
Yes. Include both in the original brief. Confirm when the goods will actually be packed and ready after closing, who will remain to hand them over and where each return load is going. This allows capacity and site-clearance times to be planned together.
What site information does your driver need?
The correct gate, vehicle route, delivery reference, access window, receiving contact and unloading point. Send accreditation, induction and PPE requirements where applicable. Large sites often have several entrances, so the public visitor address may be unsuitable for a delivery vehicle.
Do you provide the power for the refrigerated trailer?
Power and operating responsibilities are agreed as part of the hire. Tell us what is available at the proposed position and what the stored goods require. Do not assume a generator, cabling, fuel or continuous attendance is included unless it is specified in the booking.
Can you move our own event trailers?
Traction support can be arranged for suitable trailers, subject to compatibility, condition and access checks. Send the trailer details, collection-ready time and positioning requirements. This is different from a general driver-only booking or recovery from unsuitable ground.
Can you deliver at night or over a weekend?
Yes. Out-of-hours work can be planned around the event’s permitted vehicle movements. Synergix operations support is available 24/7/365. Confirm when the site is staffed and when the particular vehicle can enter; public opening and trading times do not automatically allow delivery access.
Can you store equipment or stock between events?
Storage, stock holding and onward transport can be discussed as one programme. Provide the goods, quantities, duration and release schedule. Specialist storage conditions and any stock preparation must be agreed before acceptance rather than assumed from a general warehousing service.
How is festival logistics priced?
The quote reflects the vehicles, distances, timings, hire duration, equipment, site access and loading or waiting time required. Send the complete schedule, including returns and any overnight work. This gives a clearer cost than pricing the outbound journey while leaving essential site work unspecified.
